Privacy Policy

We wrote this to be something you can actually read. No walls of legal jargon. If something's still unclear, email us and we'll explain it straight.
01What We Collect
If you request an AI Visibility Audit, we collect what you type into the form: your first name, email address, business name, business website, and optionally your city and industry.
If you ask Wren to call you, we collect your first name, your mobile number, and your consent to one automated call. When she calls, the call is recorded, and we keep the recording, a transcript and a short summary of it. We also keep any text messages we send you or you send us on that number.
When you book a call with Chris, we collect the details you enter in the booking form.
Like most websites, we also collect standard usage data: which pages you visited, how long you stayed, what device you used, and the ad or link that brought you here.
02Why We Collect It
To do the thing you asked for. That means preparing and sending your audit, placing the call you requested and texting you afterwards, or setting up the call you booked. We use recordings and transcripts to check that Wren is handling calls properly and to improve her.
We use site data to see which pages and ads are working, so we know where to spend our marketing budget. That includes telling the platforms we advertise on when someone who clicked one of our ads goes on to request a call or book one.
We don't sell your information. We don't hand it to anyone for their own marketing.
03How We Store It
Your information is stored in the CRM and communications platform we use to run our business. It uses standard security, including encryption in transit and at rest. We don't keep a separate database outside of it.
We keep your information, including call recordings, transcripts and messages, for up to 12 months after our last contact with you, unless you ask us to delete it sooner. Just send an email.
04Who We Share It With
No one, apart from the services we actually run on:
- Our CRM and communications platform, which stores form submissions and lead data and places calls and texts on our behalf.
- The AI and telephone providers behind Wren, which process the call so she can hear you, understand you and reply. They act on our behalf and only for that purpose.
- Advertising platforms we use, currently ChatGPT Ads, which receive a signal when someone who clicked our ad requests a call or books one. They don't receive your call recordings or messages.
- Google, only if you use "Sign in with Google." We don't receive more than you explicitly authorize.
No data brokers. No mysterious "partners."
05Cookies and Tracking
We use functional cookies so the site works the way it's supposed to, like keeping your session active. Our forms and booking pages set their own cookies as part of normal processing.
We also use conversion tracking on some pages. It records that a visitor who arrived from one of our ads went on to request a call or book one. You can block these with your browser's privacy settings or an ad blocker, and the site will still work.
06Your Rights
You can ask us to show you what we have on file, correct anything that's wrong, or delete your information entirely, including call recordings. You can stop emails from us at any time, and reply STOP to any text to stop texts. Send us an email and we'll take care of it within 5 business days.
07Changes to This Policy
If we update this policy, the date at the top will change. If it's a significant update, we'll also email anyone affected so you're not caught off guard.
08Where We're Based
Smartech Marketing Systems is located in Coquitlam, British Columbia, Canada. If you're outside Canada, your information may be processed here, and some of the services listed in section 04 may process it in other countries, including the United States.
